Overview

The Secure Charging Workflow allows authorised users to securely store and charge their devices without waiting or monitoring them in person. The self-serve workflow is designed for use in environments where device availability and battery life are critical for users’ productivity and affords IT Admins peace of mind without being involved in regular charging.

Set up a Secure Charging workflow

  1. Admin Access

    • Browse to the FUYL Portal (FUYL.io) and log in with an administrator profile

  2. Create a Secure Charging workflow

    • Navigate to the Workflows tab and select “Create New”
    • Name the new workflow appropriately (e.g., "Student Secure Charging")
    • Select “Secure charging” as the Workflow type and click “Next”

  3. Configure workflow options

    Options for this workflow include:

    Configure Settings
    Limit charging bays per users The user is limited to a single charging bay at a time, and won’t be allowed to use another bay configured with this workflow without first collecting their other device.

  4. Link user groups (optional)

  5. Confirm workflow

    • Check and confirm the workflow settings.

  6. Assign the workflow to bays

    • Before users can borrow devices, the workflow will need to be assigned via the FUYL Kiosk.

The workflow will appear on the FUYL Workflows dashboard, displaying weekly usage stats, the number of stations in use, and the average charging time the bays have been used.

Use a Secure Charging workflow

Depositing a device

  1. Users log into the FUYL Kiosk and select “Charging”
  2. The user selects "Charge a device"
  3. If authorised, an appropriate bay will open, the device is placed inside and connected to be charged.
  4. The bay is closed, and secured against other users’ access.

Collecting a device

  1. Users log into the FUYL Kiosk and select “Charging”
  2. The user selects "Collect a device"
  3. If a Secure Charging bay is assigned to the user, that bay will open to allow collection.
  4. The bay is closed, and is now available for use by the next authorised user.

Assist with a Secure Charging Workflow

In some cases, an administrator may wish to view, pause, start or end a secure charging session on behalf of an end user.

Access

  1. Open the FUYL Admin Settings on the FUYL Kiosk by tapping the cog in the bottom right.
  2. Authenticate as an administrator
  3. Select “View charging sessions”
  4. All bays with Secure Charging workflows are displayed

View charging sessions

When a charging session is in progress, the number of the bay, assigned user and the session's start time will be displayed. If the session has been active for more than 48 hours, a notification will appear to alert administrators to any charging sessions accidentally left open.

Start a charging session

  1. Select “Assign” next to an available bay
  2. Select a user to assign to the bay
  3. The bay will open, allowing deposit of a device.

End or temporarily access a charging session (from the Kiosk)

  1. Select “Unlock” next to an assigned bay
  2. Select either:
    • Temporarily open the bay: This will continue the charging session when closed.
    • End the charging session: This will make the bay available to the next user when closed.
  3. Close the bay when finished.

Finish changes

When finished making changes, select “Finish” then “Log out” to resume Kiosk mode for end users’ interaction.

Charging dashboard

Device administrators can view and manage charging activity using the Charging dashboard, accessible from the navigation menu in the FUYL Portal. Select the Charging Dashboard icon (charging.svg) from the left-hand menu.

The dashboard displays a searchable and filterable table of secure charging sessions, including historical and in-progress records. Data can also be exported for reporting or auditing purposes.

Charging session history

The table provides a breakdown of each session across all secure charging workflows:

Field Description
User The name of the user who initiated the session
Workflow The Secure Charging workflow used (e.g., "Staff charging", "Library charging")
Site The name of the site to which the Smart Locker belongs
Group The locker group assigned (e.g., "Admin office", "Library left")
Status The current state of the session: On charge (in progress) or Collected (completed)
Session start Timestamp when the user began the charging session
Session finish Timestamp when the session ended (either via collection or admin intervention)
Duration Total time the device was on charge
Collected by The user or admin who collected the device
Actions Open a bay temporarily1, or end charging session2

1 The charging session continues when the bay is closed.
2 Ends the charging session and presents the option to keep bay unavailable or make bay available for the next user.

Use this dashboard to validate usage, troubleshoot user activity, or ensure workflows are operating as intended. Data is presented in real-time and includes both past and active sessions.
